Hubbard Sports Travel LLC – Terms & Conditions

1. Role of Travel Agency

Hubbard Sports Travel LLC acts solely as an intermediary between you and travel suppliers, including but not limited to cruise lines, airlines, hotels, tour operators, and insurance providers (“Suppliers”). We do not own, operate, or control any of these Suppliers. Your travel arrangements are subject to each Supplier’s terms, conditions, and policies.

2. Booking & Payments

• • Deposits & Final Payments:Payment schedules are determined by the Suppliers. Failure to pay on time may result in cancellation and loss of deposit.
  • Accepted Payment Methods:We accept credit cards, debit cards, and other approved methods.
  • Professional Service Fees:Any planning or consultation fees charged by Hubbard Sports Travel LLC are for professional services rendered and are non-refundable, regardless of whether the trip is taken, canceled, or modified.

3. Payment Plan & Recurring Authorization

• • Authorization:By opting into a payment plan, you provide Hubbard Sports Travel LLC express authorization to charge the credit card on file for recurring installments as outlined in your specific itinerary or payment schedule.
  • Secure Storage:Your payment information is stored in a PCI-compliant, encrypted "vault." Hubbard Sports Travel LLC will use this vaulted information to process payments directly with your travel Suppliers.
  • Cancellations of Plans:You may request to stop recurring payments by providing written notice at least five (5) business days prior to the next scheduled charge. Stopping a payment plan does not waive any underlying balance due to Suppliers.
  • Declined Payments:If an installment is declined, it is your responsibility to provide an alternative payment method within 24 hours to avoid potential Supplier cancellation.

4. Cancellations, Changes & Refunds

• • All cancellations and changes are subject to the Supplier’s terms and fees.
  • Administrative Fees:Hubbard Sports Travel LLC may charge a separate administrative fee of $100.00 per person for cancellations or significant modifications to cover the additional labor involved in re-processing the file.
  • Refunds are not guaranteed and are issued solely according to Supplier policies

5. Flight Schedule Changes

• • Airlines reserve the right to change flight times, aircraft, or routes. Hubbard Sports Travel LLC is not responsible for these changes or for any expenses incurred (e.g., missed connections or extra hotel nights) due to airline schedule adjustments. We recommend monitoring your flight status via the airline’s mobile app.

6. Travel Protection (Insurance)

• • We strongly recommend purchasing comprehensive Travel Protection Insurance. If you decline coverage, you assume full financial responsibility for any losses (including non-refundable trip costs) and agree to hold Hubbard Sports Travel LLC harmless. You may be required to sign a formal Insurance Waiver.

7. Travel Documents & Requirements

• • You are responsible for obtaining and carrying all required travel documents (valid passports—typically valid for 6 months beyond travel dates—visas, and health certificates). Hubbard Sports Travel LLC is not responsible for denied entry or delays caused by improper documentation.

8. Health & Safety

• • Travelers must ensure they are medically fit for travel and agree to comply with all health protocols imposed by Suppliers or governments (including vaccination or testing requirements).

9. Liability Limitations

• • Hubbard Sports Travel LLC is not liable for Supplier defaults, delays, weather, natural disasters, or any events beyond our control. Any claims must be pursued directly with the Supplier.

10. Governing Law

• • This Agreement shall be governed by the laws of the State of Wisconsin. Any disputes shall be resolved in the courts of Genesee County, Michigan.

11. Acceptance of Terms

• • By paying a deposit, confirming a booking, or otherwise requesting services through Hubbard Sports Travel LLC, you acknowledge and agree to these Terms & Conditions.
